Privacy Policy

This Privacy Policy explains how AllSheets, a product of Philamedia Co. (“AllSheets,” “Philamedia,” “we,” “us,” or “our”), collects, uses, and shares information when you use the AllSheets websites and call-sheet application (“Services”). By using the Services, you agree to this Policy.

1. Who this covers
AllSheets provides software used by film and video production teams. Cast and crew receive call sheets and scheduling notifications from a production using the Services.
2. Information we collect
Information you or a production provides:
- Contact details: name, mobile phone number, email address.
- Production details: role/department, call times, locations, and optional notes you choose to share (e.g., dietary needs/allergies you submit when confirming).
- Profile photo: one you upload, or the profile picture from your Google account if you sign in with Google.
- Crew profile, if you choose to create one: your typical roles, a short bio, a portfolio link, availability, and a city-level region.
Information collected automatically:
- Basic device/usage data and log information, including which features are used and an approximate region derived from your IP address (never your precise location). We use first-party analytics only.
- Local browser storage (e.g., theme and display preferences). We do not use advertising cookies.
3. How we use information
- To create and deliver call sheets and send call-time notifications and updates.
- To let recipients review and confirm their call times.
- To operate, secure, support, and improve the Services.
- To comply with legal obligations.
4. Mobile messaging (SMS/text)
If you provide a mobile number to a production using the AllSheets Services, we may send transactional text messages such as your personal call-sheet link, call times, and schedule changes.
- Consent: You provide your number to the production when you are engaged for a project; message consent is obtained at that time. Full program details: getallsheets.com/sms.
- Message types & frequency: Messages are transactional and tied to specific shoot dates; frequency varies by production and your bookings.
- Carrier note: Message and data rates may apply.
- Opt out: Reply STOP to any message to stop receiving texts. Reply HELP for help, or contact login@getallsheets.com.
- No marketing: These messages are operational, not promotional/marketing.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All categories mentioned above exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties.
5. How we share information
We do not sell your personal information. We share it only:
- With the production you are working with (so they can manage their call sheet and crew).
- With service providers who operate the Services on our behalf, under contract, including: messaging delivery (Twilio), email delivery, application hosting and database/storage, weather and map/geocoding lookups for locations, and AI-assisted text parsing used to build schedules. These providers process data only to provide their services to us.
- For legal reasons (to comply with law, enforce terms, or protect rights, safety, and security).
- In a business transfer (merger, acquisition, or sale of assets).
Your profile picture
If you have an AllSheets account, your profile picture — one you upload, or the picture from your Google account when you sign in with Google — is shown to productions that already have you in their contacts: on their call sheets, live links, and PDF exports, so people can recognize each other on set. Your picture is yours to control: changing or removing it in Settings updates it everywhere it appears.
If you haven’t set a picture, a production that has you in their contacts may add one to their own entry for you (productions are responsible for having your permission to use a photo of you). A production’s photo appears only in that production’s contact book and on the call sheets they create — never on your public profile — and the moment you set your own picture, yours replaces it everywhere.
AllSheets Network (crew profiles)
Listing yourself in the crew network is off by default. If you turn it on (Settings › Profile › AllSheets Network), the details you choose to publish — your typical roles, a short bio, a portfolio link, your availability, and a city-level region — become visible to other signed-in AllSheets accounts so productions can find you for work. Nothing is published unless you switch it on, and you can switch it off at any time. We store only a coarse, city-level location (never your street address), and your profile is never visible to people without an AllSheets account.
Your email address is never displayed on your profile or in search results. When you are listed, a production with a paid Company account can add you to their contact book so they can put you on call sheets — that shares your name, profile picture, published roles, and email address with that production. We notify you by email each time a production adds you, these additions are limited and logged, and delisting yourself stops new ones.
Google Workspace APIs — Limited Use
If you sign in with Google, we receive your basic Google profile: your name, email address, and profile picture (used as described above). If you additionally choose to connect your Google account, AllSheets accesses your Gmail messages and attachments on a read-only basis to find and import your call sheets, and your Google Calendar to show scheduling conflicts and add your shoot days. AllSheets’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell this data, do not use it for advertising, and do not use it to train generalized artificial-intelligence or machine-learning models. AI-assisted parsing of call sheets is used only to provide the import feature you requested. You can disconnect Google access at any time in Settings.
6. Data retention
We keep information for as long as needed to provide the Services and for legitimate business or legal purposes, then delete or anonymize it.
7. Security
We use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is 100% secure.
8. Your choices and rights
You may request access to, correction of, or deletion of your personal information by contacting us at support@getallsheets.com. You can opt out of texts at any time by replying STOP. Depending on where you live, you may have additional rights under applicable privacy laws.
9. Children
The Services are intended for production professionals and are not directed to children under 13, and we do not knowingly collect their information.
10. Third-party links
Our Services may link to third-party sites we don’t control; their privacy practices are their own.
11. Changes to this Policy
We may update this Policy from time to time. We’ll post the updated version with a new effective date.
